Back from holiday with 500 unread emails? How to catch up in minutes

Do not read your inbox from the top. First find the messages that need you: direct mail from people, deadlines and the next two weeks of your calendar. Clear the bulk later. UnlockGPT does this pass for you when you come back: it reads two weeks of mail, closes what is done, adds what is new and tells you where to start.

The first morning after a holiday has a familiar shape. You open your email, see a number with three digits, and start at the top. An hour later you have read forty newsletters and still do not know if anyone is waiting on you.

The problem is the order, not the number. Most of those 500 emails need nothing from you. A handful need an answer this week. The goal of the first hour is to find that handful.

A method that works in any inbox

  1. Look at the calendar first. Check the next two weeks before you open a single email. Meetings tell you which threads you must read today and which can wait.
  2. Filter to mail from people, sent to you. In Gmail, a search like is:unread to:me -category:promotions -category:social removes most of the noise. In Outlook, the Filter menu has “To me” and “Mentions”. That is usually a few dozen emails, not hundreds.
  3. Read by thread, newest message first. A question asked on day two may have been answered by a colleague on day five. The latest message tells you if the thread still needs you.
  4. Write down obligations, not emails. For each thread that needs you, write one line: what you have to do, for whom, by when. That list is your week.
  5. Answer the blockers first. Reply first to the people who cannot move until you do. A short “I'm back, you'll have it by Thursday” counts.
  6. Clear the rest in bulk. Select newsletters, notifications and receipts by sender and archive them in groups. You do not need to open them.

Why the first hour is still hard

The method works, but it asks you to hold a lot in your head. Which of these threads did someone else already handle? Is the contract they mention in Drive or in an attachment? Did the client move the meeting? And the to-do list you left before the holiday is now partly done, partly wrong, and missing everything new.

That is the part UnlockGPT is built to take off your hands.

How UnlockGPT catches you up

On a normal day, UnlockGPT analyses your new mail and calendar in the background and keeps your to-dos and Today's Focus up to date. That daily run is for people who use the app. If you have not opened it for more than seven days, it pauses, so when you return your workspace is out of date.

So when you open the dashboard after more than a week away, UnlockGPT offers to catch you up. If you accept, it opens a catch-up chat and does the whole pass in one go:

  • It reads the last two weeks. It starts from up to 80 recent emails across your inboxes, together with all your projects and open to-dos, and then reads the full threads that decide if something is done or if there is a new obligation.
  • It checks what is coming. It looks at your calendar for the next two weeks.
  • It reconciles every open to-do. Each one is marked done, removed as obsolete, given a new date, or left as it is.
  • It adds what is new. Requests and deadlines that arrived while you were away become dated to-dos in the right project.
  • It rewrites Today's Focus. Two to four sentences on what to do today and next.

At the end you get a short report grouped as completed, removed, re-dated and created, plus the new focus. If something is wrong, say so in the same chat and it is corrected at once.

You come back to a plan that matches where things stand, not to a list you left two weeks ago.

The same thing, on any normal week

You do not need a holiday to fall behind. When your list feels messy, open the cleanup chat. It reads your projects, your to-dos and the last week of email, then proposes what to complete, what to delete and what to move up or down. Unlike the catch-up, it waits for your yes before it changes anything.

And for a single question you can just ask: “What did the client send while I was away?” or “Did anyone ask me for something with a deadline this week?” UnlockGPT searches all your connected inboxes at once.

In short

Start from the calendar, filter to people, read the newest message of each thread, and turn obligations into a list. Archive the rest in bulk. If you use UnlockGPT, press “Catch up” when you come back, read the report, and start with the first line of Today's Focus.
